Privacy Policy

This policy explains how PUBSONAR (“PUBSONAR”, “we”, “us”) handles personal data on the pubsonar.com website and in the PUBSONAR platform. If you have a question, write to [email protected].

1. Who we are

PUBSONAR operates the website pubsonar.com and the PUBSONAR platform at pubsonar.com/panel. For the website and for the administration of customer accounts, PUBSONAR is the controller. For the data that customers manage in the platform, PUBSONAR processes data on the customer’s behalf and on its instructions; the customer is the controller.

2. Data we collect on the website

  • Contact form. Name, work email, company, company website, team size, topic and your message. We use them to answer you.
  • Server logs. IP address, browser type, requested address and time, kept for a short period for security and troubleshooting.
  • No tracking. The website uses no analytics and no advertising cookies or pixels.

3. Data in the platform

  • Account data: name, email address, role, password hash, two-factor settings, signed-in devices, language and notification preferences.
  • Customer data: the websites, publishers and contacts customers research and manage, messages exchanged by email and WhatsApp, notes, call outcomes and onboarding records.
  • Connected accounts: access tokens for Gmail and Google Drive and WhatsApp session data, stored encrypted with a key per company.
  • Technical data: logs of background jobs and an audit log of administrative actions.

4. Publicly available business information

PUBSONAR’s research features collect information that website operators publish themselves: contact addresses and phone numbers shown on their sites, the site’s language, its ads.txt file and public traffic estimates. Customers use this information to contact website operators about advertising partnerships. Where it includes personal data, the legal basis is the legitimate interest in business-to-business communication. Customers are responsible for honoring objections and for following the electronic marketing rules that apply to them.

If you operate a website and want your data removed from PUBSONAR, write to [email protected]. We will remove it and tell the customers concerned.

5. Legal bases

  • Performance of a contract: to provide accounts and the platform to customers.
  • Legitimate interests: to secure and operate the website and platform, and for business-to-business outreach research.
  • Consent: for messages sent through the contact form. You can withdraw consent at any time.
  • Legal obligations: where the law requires us to keep or disclose data.

6. Service providers

We use service providers that process data only to provide their service to us:

  • Cloud infrastructure in Frankfurt, Germany, for hosting the website, the platform and backups.
  • Cloudflare, for content delivery and protection against attacks.
  • An email delivery provider, for system messages such as invitations and password resets.
  • Google, when a customer connects Gmail, Google Drive, Google Sheets or Google sign-in.
  • AI service providers, for translation, reply classification and call briefings in the platform.

7. Transfers outside the EU

Our servers are in the European Union. Some service providers may process data outside the EU/EEA. Where they do, the transfer relies on an adequacy decision of the European Commission or on Standard Contractual Clauses.

8. Retention

  • Contact form messages: as long as needed to handle your request, and no longer than 24 months after our last exchange.
  • Account data: for the duration of the customer contract.
  • Customer data: returned or deleted when the contract ends, as agreed with the customer.
  • Backups: kept on a rotating schedule and deleted automatically.

9. Security

We protect data with per-company isolation and encryption, two-factor sign-in, role-based access and an audit log. Details are on the Security page.

10. Your rights

You have the right to access, correct and delete your personal data, to restrict or object to its processing, to data portability and to withdraw consent. Write to [email protected]. If your data is managed by one of our customers, we will forward your request to them. You can also lodge a complaint with a data protection supervisory authority.
